Conference Aide

Conference aides provide services for conferences and camps that are housed in Virginia Tech residence halls. They serve as the primary contact and give appropriate information to various departments across campus. Conference aides will assist any conferences or groups in reserving any classroom, recreation, meeting, or campus spaces as needed. Conference aides work with conference programmers to prepare room rosters, create bills, reserve rooms, and disperse information. All conference aides must serve in in a rotating on-call schedule to handle any issues that arise in the evening hours, and must stay overnight on campus when on-call. There will be a few required weekends based on assigned groups and there will be no set weekly schedule. Staff will be assigned weekly office hours as well. Conference aides cannot take summer classes.

Responsibilities

  • Conduct check-ins and check-outs for assigned groups
  • Serve in a nightly on-call duty rotation
  • Prepare room keys for assigned groups
  • Deliver excellent customer service
  • Attend weekly staff meetings and all training sessions
  • Ensure all information is received and delivered in a timely manner
  • Prepare rooming rosters for assigned groups
  • Attend Orientation Parent check-in
  • Ensure that residence halls are prepared for a group’s arrival
  • Collaborate with different departments to ensure successful guest experience
  • Must be able to multitask and prioritize departmental functions to meet deadlines
  • Work independently and be primary point of contact for assigned groups
  • Must be able to work in a team environment
  • Assist with other areas as needed
  • Copying, filing, typing as necessary
  • Perform other duties as requested
  • Work through mid- to late August

Requirements

Pay and benefits

  • $9.00 per hour
  • 10 meals per week dining allowance on campus

Desk Assistant Manager

The desk assistant manager is responsible of adding in overseeing all functions of the 24-Hour hospitality desk by providing information and direction to the desk attendants. The desk assistant manager will schedule all staff to desk and orientation shifts. This position will also be responsible for 2 to 3 shifts at the desk each week. The assistant manager will oversee the inventory and check out process of master access keys to all staff and handle any lock changes and communicate those to the key shop. The desk assistant manager will work between 20 – 40 hours each week. Desk assistant manager will also assist with orientation parent check-in in Squires Student Center and any group check-ins or check-outs as needed. The desk assistant manager can take classes during the summer.

Responsibilities

  • Work closely with the key shop to ensure all lock changes are being handled in a timely manner

Requirements

  • Previous office experience
  • Previous cash handling experience

Desk Attendants

Desk attendants are responsible for assisting with all functions of the 24-Hour hospitality desk by providing information and direction to all summer conferences and camps at Virginia Tech. Desk attendants are responsible for staffing the 24-hour hospitality desk seven days a week. Each shift is six hours long and staff must be able to work early hours, during the day, and late evenings. All staff members must work between 20 and 40 hours each week. Desk attendants will also assist with orientation parent check-in in Squires Student Center and any group check-ins or check-outs as needed. Desk attendants can take classes during the summer.

Responsibilities

Set-up Crew Assistant Manager

The set-up crew assistant manager is responsible for implementing room preparations and distributing linens and amenities to rooms being used by conference or camp guests. The assistant manager works with the manager to ensure that the correct amount of linens are being ordered and delivered in a timely manner and will work directly with the linen company. The assistant manager ensures that proper linens are going to the correct conference or camp and that all rooms are set up and in proper order before guests arrive. The assistant manager and manager make weekly tasks lists that must be completed based on the conference and group schedules. The assistant manager assists in making weekly work schedules and assign staff to check outs as needed.

Set-up Crew

The set-up crew distributes linens and amenities to rooms being used by conference and camp guests. Set-up crew members assist with facility arrangements, deliver supplies, assist with room preparations, and assists with check outs as needed. The set-up crew is responsible for counting delivered linens and ensuring all linens are returned after a group leaves. Set-up crew members confirm that all rooms are set up and in proper order before a group arrives. The set-up crew is required to work 20 to 40 hours per week. Weekends and evenings may be required as necessary. Set-up crew members can take classes during the summer.
